Can I store my documents and business records in a container?

Partly, and it is worth knowing the rule before you pack. Under our standard SSAA storage agreement, you can't store documents containing personal information. That includes customer files, staff and payroll records, medical or client notes, and anything else with people's personal details in it. Much of a typical business archive falls into that group, so check carefully.

Records without personal information are fine. Think product catalogues, blank stationery, marketing material, manuals and spare forms.

Anything irreplaceable, or goods worth more than $1,000 in total, can only be stored if itemised and specifically insured. Insurance is up to you.

If you do store paper, pack it well. Use strong archive boxes or sealed plastic tubs, keep them off the floor on pallets, and leave a small gap between the boxes and the container walls so air can move. Our containers are airtight, waterproof and dust-proof, but they are not climate controlled, so make sure paper goes in dry. Label every box and keep a list.

For records with personal information, a secure document storage company or scanning service is the right place, and your accountant can tell you how long you must keep them.
